How it works
You work with packs. A pack holds the document types you ask for, such as a passport or a certificate, and says who has to hand them in. There is no separate step to send it: once you save, those people see it.
Create a pack
- On the web, go to People > Documents and choose New pack.
- Enter a Pack name and choose Who has to hand this in. The default is Everyone.
- Choose Add document type and fill in the Document name and File type. Then set Required, Auto-approve, Expiry and optionally an Approval Chain.
- Choose Save.
To ask only certain people, use the web. On the phone, Manual in the wizard still applies to everyone.
Upload a document as an employee
- On the web, open the menu at the top right > View Profile > Documents. On the phone: Profile > Account > My documents.
- Choose Upload for the document that is asked for, and pick your file.
- A file can be up to 25 MB. Depending on the document type, that is a PDF or an image.
- Every new file goes back to Pending until someone reviews it, unless the document is approved automatically.
- You cannot delete a document yourself.
Review a document
- Open the document with View document.
- Choose Approve document, or Reject with a reason.
A reason is required when you reject. Uploads waiting for review also show under Approvals.
Expiry dates and reminders
- A date someone enters takes priority. Otherwise the period you set on the document type applies, counted from the upload.
- Only approved documents can expire.
- By default, people get a reminder 60 days ahead, by phone push, at 20:00 in your organization's time zone.
- Send Renewal asks people to renew documents that expire within 30 days. It appears when you tick people who have such a document.
See what is missing
On the web, the Empty filter shows what is missing and Expiring Soon what runs out. Export CSV gives you the list. Tick people in the list and Remind All appears, which sends those people a reminder inside the app and by push, not by email.
What is not possible
- Uploading a document that is not in a pack.
- Stopping someone from clocking in because a document is missing.
- Signing a document digitally.
- Deleting documents automatically after a retention period.
- Getting a pack back: deleting a pack or a document type deletes its files for good.
