Employee onboarding: from invitation to a regular on the team

A good onboarding process helps a new colleague do their job quickly and stay. In four phases, with a checklist you can use for your own induction program.

  • 14-day free trial, no credit card
  • €6.50 per user per month, excluding VAT
  • Every feature included
  • iOS, Android and web

1. Before the first working day

Good onboarding starts before anyone walks in. Make sure the account is ready, that the new colleague knows where and when they are expected and who will meet them. Someone who already sees their first shift in the schedule starts with fewer questions.

  • Record their details and send the invitation
  • Schedule the first shifts
  • Choose a fixed contact person or buddy

2. The first day

Keep the first day manageable: a tour, the people they will work with, and the practical things needed straight away, such as how to clock in and where to find the schedule. Too much information on day one does not stick.

  • Meet the team
  • Explanation of clocking in and the schedule
  • The most important work instructions

3. The first week

The first week is when training follows: safety, work instructions and whatever belongs to the role. Record who has completed what, so it does not depend on someone's memory or a list on paper.

  • Training with progress per person
  • A checklist per role
  • A short conversation at the end of the week

4. The first months

An induction program does not end after a week. Plan fixed moments to ask how it is going and what is still missing, and make sure the new colleague is part of the regular news and conversations. Someone who still feels new after a few months is quicker to leave again.

  • Fixed evaluation moments
  • Follow company news and announcements
  • Feedback on the induction program itself

Onboarding in the same app as the work

In Celtucom a new employee gets an invitation link and a profile with the fields you need, and follows their training with quizzes, progress and a certificate on completion. You build checklists as a form, and the schedule, announcements and clocking in all live in the same employee app. That way nobody has to learn a second app after the first week. The contract and the administration around a hire stay with your HR and payroll administration. See how to build checklists as a form on digital forms, and how announcements reach the whole team on the team communication app.
