What a timesheet is
A timesheet is the overview of the hours one employee worked over a period, usually a week or a month. It is the bridge between the work and the administration: payroll uses it to work out pay, and anyone who bills hours to a client or project invoices from it.
- Per employee, per period
- The basis for payroll
- The basis for billing a client or project
What belongs on it
For each day worked: the date, start and finish time, the break and the total. Overtime sits apart from regular hours, and if you work by project or role, it shows what the hours were booked to. At the bottom are the total for the period and who approved it.
- Date, start, finish and break per day
- Overtime separate from regular hours
- Project or role, and who approved
Weekly or monthly
A weekly timesheet is quick to check and catches mistakes while everyone still remembers the week. A monthly one matches monthly payroll, but looking back only at the end of the month often means guessing. Many companies therefore approve weekly and run payroll on their own pay cycle.
- Week: faster to check, less forgotten
- Month: lines up with payroll
- Approve weekly, pay on your pay cycle
From clocking in to an approved timesheet
When employees clock in and out in an app, the timesheet exists before anyone fills it in, and employees can see their own worked hours in the app. The manager sees attendance live, fixes a forgotten clock-out in the time entry itself, locks the day once it is right and exports the approved period to Excel, PDF or CSV for payroll.
- Live attendance and editable time entries
- Day locking after approval
- Export to Excel, PDF or CSV
Making a timesheet
How the timesheet comes about in software, from clock-in to payroll file, is covered on timesheet software. Which way of recording hours suits your team is on time tracking methods, and the punch itself starts at the time clock.
