What is a shift schedule?
A shift schedule shows who works which shift: on which day, from what time to what time and in which role. You mostly meet the term where people work in shifts, such as care, security, hospitality and transport. In practice it means the same as a work schedule.
- Who works, and when
- Start and finish time per shift
- The role or post per shift
What goes on a shift schedule
A good shift schedule can be read at a glance. Put the date, the times, the role and the location on each shift, and make roles recognizable by color. Anyone who works at more than one location also wants to see where they are expected that day.
- Date, start and finish time
- Role, recognizable by color
- Location when there is more than one site
Sharing a shift schedule online
A shift schedule on paper or in a shared file is out of date as soon as something changes. With scheduling software it lives in an app: you build day, week and month schedules with drag and drop, repeat a fixed pattern, and the whole team sees the schedule in the app, with push notifications on the phone.
- Plan with drag and drop
- Recurring patterns instead of starting over each week
- Push notifications on mobile and in the browser
Availability and swaps in one queue
Employees pass on their availability in the app and request swaps there too. The planner approves everything from one queue, instead of gathering requests from messages, notes and phone calls.
- Pass on availability in the app
- Swap requests in one place
- Approval by the planner
Multiple locations and groups
With smart groups you aim a schedule at a department, a location or a role. Shifts always sit in the time zone they fall in, even when the team is spread over more than one country.
- Schedules per location or department
- Smart groups for roles and teams
- Shifts in the right time zone
Setting up a shift schedule yourself
The steps are on how to make a work schedule, the planner side is employee scheduling, and the employee view is the work schedule app. Running a team around the clock? See care.
