Create a task

  1. On the web, go to Work > Tasks and click New task. On the phone: Admin tab > Tasks > + > Create new task.
  2. Enter a Task title and choose the people under Assign to.
  3. Set a Due date, Priority, Recurring or Labels if you want, and add files with Attach file.
  4. Choose Publish task.
  • Under Work > Tasks and on the phone, a title and someone to assign it to are required, and a title has at most 100 characters. Under My Tasks on the web, only the title is required.
  • By default the priority is Medium and the due date is tomorrow.
  • Assigning several people works on the web. Turn on Create separate task for each person, so each of them has their own task to finish. On the phone you choose one person.
  • By default everyone can create and assign tasks. You can limit that in the task settings under User permissions.

Can't see your new task? The list opens on My tasks and To do. A task for someone else is under All tasks.

Finish a task as an employee

  1. Open My Tasks: on the web under My work, on the phone under the Work tab.
  2. On the web, open the task and choose Complete. On the phone, tick it, swipe right, or choose Mark done.
  • On the phone you can take it back straight away with Undo.
  • You see and tick Subtasks on the web. The phone shows the progress only.
  • Open subtasks do not stop you from finishing a task.
  • Whoever created the task gets a notification when it is done.

Follow progress

  • On the web you filter by status, and the eye icon shows whether and when a task was first seen. With several people on a task, that is whoever opened it first.
  • The Activity tab of a task shows what happened to it.
  • In the three-dot menu, Overdue tasks lets you Send reminder.
  • A task is overdue from the day after its due date. The person it is assigned to gets one reminder about it.

Recurring tasks

Turn on Recurring when you create the task. Every night Celtucom creates the new tasks, up to 14 days ahead, whether or not the last one is done.

  • A copy takes the title, description, priority, due date and people along. Subtasks, labels and attachments stay behind.
  • On the phone you can choose Daily, Weekly or Monthly.
  • On the web, the three-dot menu holds Recurring tasks, with Pause, Resume and Generate now.
  • Deleting one there removes all its occurrences, without asking first.

What is not possible

  • Changing how a task repeats after you created it.
  • Running Automations. They are not active yet, and the screen says so.
  • Adding a file to a comment.
  • An approval step. Review is only a status.
